Mail Protection

It’s the security layer that checks your incoming email for phishing, scams, and impersonation. When a message arrives, it adds a short colored banner at the top telling you whether anything looks unusual, and gives you a one-click way to report anything suspicious. Think of it as a second set of eyes on every email before you act on it.

No. The banners appear automatically at the top of your emails, on your computer and on your phone. There’s nothing to set up.

Every protected email gets a banner. The color tells you how much caution to use.

Gray
Informational
The email looks fine. The banner is just giving you context, for example, letting you know it’s the first time you’ve received mail from this sender. No action needed; just stay aware.
Yellow
Caution
Something about this email is unusual or worth a second look, a brand-new sender, sender details that don’t quite line up, or a message asking for something sensitive. It doesn’t mean the email is definitely bad: slow down and verify before you click a link, open an attachment, or reply.
Red
Danger
There are strong signs this email is phishing or impersonation. Don’t click any links, don’t open attachments, and don’t reply. Report it using the link in the banner, then delete it.

HyCloud Mail Protection learns who you normally communicate with. A sender you’ve never received mail from before gets extra scrutiny, even if they’re perfectly legitimate. So the first email from a new contact, a new vendor, or even a real client reaching out for the first time can trigger a caution banner. It’s not proof the message is dangerous, it’s a prompt to confirm the sender is who they claim to be. Once you’ve established normal contact, those banners ease off.

The most common reasons a message gets a banner: 

First-time sender
you’ve never received email from this address before. 

Name doesn’t match the address
the display name says one thing (for example, your boss or a known company) but the actual email address tells a different story. 

Lookalike domains
addresses designed to imitate a real one, like swapping a letter or adding an extra character to a familiar company name. 

Failed sender verification
the email claims to be from a domain but doesn’t pass the checks that prove it. 

Suspicious links
links that lead somewhere other than where they appear to, or to known-bad sites. 

Risky requests
messages pushing you to send money, buy gift cards, change banking or payroll details, or hand over a password, especially when they pressure you to act fast or keep it quiet. 

Brand impersonation
fake notices pretending to be Microsoft, DocuSign, a bank, or a courier to trick you into signing in or clicking. 

Use the Report link inside the HyCloud Mail Protection banner at the top of the message, and choose the reason (such as phishing or spam). That’s it, one click and it’s on its way to us. Reporting from the banner is better than just deleting the message, because it helps protect your coworkers too.

The message is analyzed automatically, and the result helps tune protection for you and everyone at your organization. If a reported email turns out to be a real threat, our team can take further action. If we need anything from you, we’ll reach out.

If you recognize and trust the sender, it’s fine to proceed. If a sender you regularly deal with keeps getting flagged, report it as safe from the banner or let HyCloud know, we can add them to your trusted-sender list so the warnings stop.

Yes. Links are checked, and attachments are scanned for known threats, but no filter catches 100% of everything, which is why the banners are there to keep you in the loop. When in doubt, slow down and verify.
